Degree Works Help

What is DegreeWorks?

DegreeWorks is a computerized, web-based degree audit program and academic advising tool that has been designed to assist students and their advisors in reviewing their progress toward graduation.  The audit is separated into blocks based on degree, major, and emphasis requirements.

DegreeWorks Features

DegreeWorks will help you:

  • Determine what requirements you need to fulfill in order to complete your degree.
  • Determine which courses you have taken or transferred, and which ones count as electives
  • View transfer credits, waivers, and exemptions applied toward degree.
  • See how your coursework could be applied toward another major or emphasis using the ‘What If’ option.
  • Estimate how many semester it will take you to graduate.
  • Learn the prerequisites for courses by clicking on the course numbers.

Getting Started

Login and Student Search

  • Log into your MyBarton Portal - Faculty Services - DegreeWorks for Advisors

From the landing page, you will have access to the “Key Block”.  This is where you can either directly enter a student’s ID or select the “Find” icon to perform a student search. Inputting a specific ID number will display only that student’s audit. Clicking the “Find” icon will direct you to the student search box.

Student Information fields in Degree WorksThe First and Last Name fields are not case sensitive. Advisors are only allowed to access their degree audits for their advisees.

Once search criteria are selected and a search is performed, a list of students will populate in the “Students Found” field. From here, you may select individual students that you wish to view by checking or unchecking the boxes next to the student’s ID number, or you may click the “OK” button to pull up an audit for each student listed.

You should select the Process New button in order to get the most up-to-date worksheet for the student.  Please note a new audit number is generated, after you hit the Process New button.

Worksheets Tab

The Worksheets Tab displays student progress toward completion of their degree requirements. It also displays students’ major and educational goal, catalog year, academic status, hold information, overall grade point average, and transfer credit information. Other information that is displayed on the Worksheet are: General Education requirements, Program of Study requirements, elective courses as well as insufficient courses and not counted courses.

Degree Block: Lists all of the blocks that are required to complete a degree. The GPA that displays in the header bar of the Degree block does not include any course that will not count toward the required hours for graduation (remedial, above the limit, etc.).

This block also includes the student’s resident GPA and any unmet conditions for graduation. Once the specific conditions are met, they will disappear from the audit. The “Credits Required” and “Credits Applied” will remain visible as well as the GPA and the official cumulative GPA that displays in the Academic/Demographic summary.

Additional Blocks

  • Fallthrough – Displays courses that are not counting in a general education, emphasis, or elective block.  These course will include academic courses that can count in the overall credit hours and G.P.A.
  • Insufficient – Displays courses that include any incomplete courses, any courses from which the student has withdrawn, any audited course, any course that did not meet a specific grade requirement, or any course the student has failed.
  • Not Counted – Displays courses that are remedial courses and do not count as hours for a degree but will count in the student’s overall G.P.A.  The current Barton transcript counts the remedial courses in the total attempted and earned credits as does DegreeWorks.  Remedial courses do not count towards toward graduation therefore Advisors/Students will need to subtract the “Not Counted” from the Total Credits Applied.
  • In-Progress – Displays courses that the student is currently registered for are listed here in addition to displaying where they fit throughout the audit.
  • Exceptions - This block will appear if the student has an approved exception that has been applied to their degree audit. This occurs when a course substitution or field of study form is submitted on their behalf. These exceptions will also appear throughout the audit in the

Degree Works Legend for iconsComplete – Once the requirement is met, the box is checked off and the check box turns green.

Complete except for classes In-Progress – When the student is registered for the course that will meet the requirement upon completion, the check box will be blue, and will have a tilde ~ in the box.

Nearly Complete – When there is a requirement rule that has multiple courses within a requirement, and the student is registered for those courses, the box will be blue with a double tilde.

Not Complete – A requirement that has not been registered for and completed.

The Save As PDF option allows you to save a copy of the current worksheet in a format that be printed, filed, or electronically distributed.

DegreeWorks Exception

Advisors are able to request exceptions to the standard degree audit by submitting a Degree Audit Exception electronic form to the Registrar. The Registrar will review the appeal and consult with academic deans, Vice President’s Office, and advisors if applicable. Once a decision is made, the advisor will be notified by email within 10 working days and if approved, the exception will be applied to the student’s DegreeWorks audit by the Advisement Center or the Enrollment Services Office.

Exceptions are granted for individual students, and will not alter the program or the official catalog requirements when requested. To change a program requirement, to include additional courses, or to change the selection of courses that may complete a requirement, consult with your academic dean.

What-If Link – Additional information will be given at a later date

What-If Audits allow advisors and students to process speculative degree audits for students using their current class history. Students can use this link if they are thinking of changing their majors and would like to know where they stand in the new curriculum.
